WebCollect explained

In January 2019 we implemented a system called WebCollect which is an internet based membership system. This was originally developed in 2010 for sailing clubs, but is now used extensively by sporting clubs, charities and professional bodies across the UK to manage their membership records and subscriptions.

The main benefit for the Club is that it will considerably reduce the administration overhead by enabling new membership applications and membership renewals to be performed on-line by members in much the same way as they would purchase products from on-line retailers. The system also allows members to update their details e.g. address, contact numbers etc on-line, and will delivers cost savings to the Club by reducing the amount of paperwork and postage incurred every year at renewal time. The system can also be used to collect a variety of booking fees for Training Courses, Club Boat Hire, Berth Subscription and Social Events.

Do I have to purchase and renew my membership on-line through WebCollect?
To reduce costs, the club actively encourages members to use WebCollect wherever possible, but recognises that not everyone likes to transact using the Internet If you have any problems using this on-line system please contact our Treasurer – Mike Stock @ treasurer.cransleysailingclub@gmail.com

What do I need to do to be able to use WebCollect?
In order to start the process of joining you will first need to register with WebCollect. All you need is a valid e-mail address which is used to login to your WebCollect account. You will also need to set up a password of your choice. Please be aware that for technical reasons your WebCollect Account Login id (i.e. e-mail address) and password is different to the Login id used to book duties (DutyMan).

What payment methods are available?
The club’s preferred method is Bank Transfer as this minimises effort for the Treasurer and is inexpensive to process. However, if you are unable to make a Bank Transfer payments can also be made by cheque or cash. We will be looking at other payment methods for example direct debit payments, but because the club processes a very small number of transactions, the costs of using these methods are quite high. The club is currently investigating the feasibility of this, but if adopted, the additional costs would have to be passed on to the member.

Are my details safe when using WebCollect?
Absolutely. All personal and banking details are protected in much the same way as for any other Internet retailer. The following is an extract from the WebCollect site.”All personal, including any card, details are fully encrypted using 256 bit SSL encryption. We are fully compliant with Payment Card Industry standards (PCI DSS) and are a registered Data Controller under the Data Protection Act. We will not share your members’ information with any third parties, except for the limited purpose of processing payments. We will not contact your members for marketing purposes, ours or anyone else’s”.

I’m not sure how to use WebCollect, what help is available?
The system automatically leads the user through the pages that need to be filled in according to the products that have been selected. These should contain all of the necessary information and prompts to guide the user through the process, but if you have any queries, please feel free to speak to the Treasurer or one of the Committee for further advice.
